Overview
Bigelow Laboratory for Ocean Sciences invites applications for a Project Administrator for the Maine Algal Research Infrastructure & Accelerator (MARIA) project. This entry-level position will be responsible for working with the project principal investigator to define/develop and execute various administrative tasks. This is a full-time (37.5hours/week) position with an ideal start date on/after April 1, 2025. Starting salary is $21.00/hour, with a generous benefits package including health care, retirement contribution, and paid time off.
Minimum Qualifications:
- Applicants must hold a BS or MSc degree or possess equivalent experience in a field of biological, chemical or other environmental sciences at the time of hire. Preference is for knowledge of and experience with algae;
- Applicants must have demonstrated exceptional oral and written communication skills. This includes, but is not limited to, ability to document daily activities, ability to coordinate communication with multiple internal and external groups; assist in preparation of project reports; assist in website updates and maintenance; and assist in planning of project meetings (content and travel logistics);
- Applicant must have a high level of self-confidence, the ability to independently gain new knowledge, and demonstrated strong organization skills with superior attention to detail;
- Strong computer skills, and comfortability with using cloud-based software packages (e.g., G-suite, and NetSuite platforms);
- Outreach and social media marketing skills with experience in using media platforms for community engagement.
Responsibilities:
Execute relevant project administrative tasks as assigned by the project PI. These include, but are not limited to:
- Communicate relevant information with all project team members
- Oversee scheduling of standing thematic meetings, or other project-relevant meetings as needed
- Coordinate logistics for in-person annual project meetings and other meetings related to the project
- Contribute to annual project reporting, including overseeing timely contributions by other project team members
- Develop content for various project-related documents and for outward facing project-related websites
- Compile and organize project-relevant opportunities (e.g., funding opportunities, external meetings, etc.) and project outputs (e.g., publications, patents, business filings, etc.)
- Assist in purchasing and invoicing for project related items and expenses
- Use prior experience to suggest/develop other relevant administrative tasks related to the successful completion of the project
- Perform outreach to engage communities through various media platforms and local community events
Other Responsibilities/Requirements:
- Position will likely involve exposure to information on proprietary research efforts and requires heightened sensitivities to intellectual property protections
- Reporting any potential or perceived violations of applicable laws, rules, or Laboratory policies to the immediate supervisor, Executive Director, the Human Resources Officer, or the Vice President for Research and Administration as appropriate
